Register and Privacy Statement of Kodarit

This is the register and data protection statement of Kodarit (Koodikaverit Oy) in accordance with the Personal Data Act (Sections 10 and 24) and the EU’s General Data Protection Regulation (GDPR). Prepared on 22 May 2018. Last change 22 May 2018.

4. Legal basis and purpose of personal data processing
According to the EU’s General Data Protection Regulation, the legal basis for processing personal data is

Purpose of personal data processing. Kodarit customer register is used to manage customer relations and provide information. At least the mandatory personal and invoicing information requested on the registration form is collected in the register. The collection of Kodarit personal data is based on data collection related to invoicing and collection. Information is collected on the basis of the Personal Data Act (523/99). The processing of invoicing and fee payment information has been outsourced to Billgo Oy. Collection: to Lindorff Oy and Ropo Capital Oy. With the customer’s consent, the information provided can be used in general information and marketing. The data will be removed from the register at the customer’s request, the request is sent to the address kodarit@kodarit.fi. The information is not used for automated decision-making or profiling.

5. Data content of the register

The information content of the register and the data to be saved appear on the registration form when registering for courses. The register stores the information that the person gives himself.

Information to be stored in the register includes:

Participating course/order

Participant’s name

Age of participant

Participant’s phone number

Name of the payer

Payer’s address

Payer’s email address

Possible further information point

Possible allergies point

Photography and photo publication permission

Commitment to cancellation conditions

Business customer ID number

 

6. Regular sources of information

The information to be saved in the register is obtained from the customer, e.g. From messages sent via web forms, by email, by phone, via social media services, contracts, customer meetings and other situations where the customer gives out their information.

Google Analytics is also installed in our website, but we do not collect any identifiable personal data with it.

 

7. Regular transfers of information

Information is only given to the teachers running Kodarit courses and to Tmi Jukka Pro for invoicing.

Invoicing information is also transferred to the systems managed by the invoicing program Bilgo Oy and, in cases of collection, Lindorff Oy or Ropo Capital Oy.

We never pass on our customer data to a third party who could use your data for direct marketing purposes.

However, information can be used or disclosed if it is necessary due to a law, regulation or legal request and for the purpose of defending against legal claims.

 

8. Regular transfers of data and transfer of data outside the EU or EEA

Data is not transferred outside the EU or EEA.

 

9. Register protection principles
Care is taken when processing the register and the information processed with the help of information systems is properly protected. When registry data is stored on Internet servers, the physical and digital data security of their hardware is taken care of accordingly. The registrar ensures that stored data as well as server access rights and other data critical to the security of personal data are handled confidentially and only by those employees whose job description it is.

 

10. Right of inspection and right to demand correction of information
Every person in the register has the right to check their information stored in the register and demand the correction of any incorrect information or the completion of incomplete information. If a person wants to check the information stored about him or demand corrections, the request should be sent by e-mail to kodarit@kodarit.fi. If necessary, the registrar can ask the requester to prove his identity. The controller responds to the customer within the time stipulated in the EU data protection regulation (generally within a month).

 

11. Other rights related to the processing of personal data
A person in the register has the right to request the removal of personal data about him from the register (“right to be forgotten”). Those registered also have other rights according to the EU’s General Data Protection Regulation, such as limiting the processing of personal data in certain situations. Requests should be sent to kodarit@kodarit.fi. If necessary, the registrar can ask the requester to prove his identity. The controller responds to the customer within the time stipulated in the EU data protection regulation (generally within a month).
